New software only helps if your team actually uses it. The churches that settle in fastest do not try to switch everything on in a weekend. They take a month, one step at a time. Here is the plan we recommend.
Week 1: set up and bring in your people
- Choose one person to lead the rollout, and one backup.
- Add your church details, ministries and the roles your team will need.
- Import your core member and household records. Our spreadsheet checklist helps here.
- Check a sample of records with someone who knows the congregation well.
Week 2: invite your leaders
- Give ministry leaders access to their own groups only.
- Run a short, hands-on session: find a member, update a phone number, add a visitor.
- Agree one simple rule: new information goes into the system, not into a private list.
Week 3: switch on the everyday tasks
- Start recording attendance for one service or group.
- Record contributions, if you plan to manage giving in the system.
- Set up birthday and anniversary greetings, and the monthly celebrant list for your pastors.
- Add your upcoming events.
Week 4: look at what you have learned
- Run your first reports: attendance trends, new visitors, ministry sizes.
- Ask leaders what is working and what is getting in the way.
- Retire the old spreadsheets once everyone is confident.
Tips from churches that have done it
- Start small. One ministry using the system well beats five using it half-heartedly.
- Celebrate early wins, like the first visitor followed up within a day.
- Keep the old data safe until you are sure nothing is missing.
