Terms of Service

These terms apply to gatelist.com and to the Gatelist church management software.

1. Who we are

Gatelist is provided by GATELIST ("we", "us"). These terms apply to gatelist.com and to the Gatelist church management software we provide to churches and ministries ("you", "the church").

2. The service

Gatelist helps a church manage its members, families, ministries, events, attendance, giving records and communications. Each church gets its own installation at an address such as yourchurch.gatelist.com. Features depend on the plan agreed with you (see Pricing).

3. Getting started and payment

• You contact us through gatelist.com; we confirm the plan and set up your installation.
• Plans are invoiced. Prices are in pounds sterling and are shown on the Pricing page or in your invoice.
• Invoices are payable within 14 days. If an invoice stays unpaid, we may restrict the service after giving notice.
• You can change plan by contacting us. Changes apply from the next billing period unless agreed otherwise.

4. Your responsibilities

• Keep sign-in details secure, and give access only to people who need it, with the right role.
• Only enter information you are entitled to hold, and get any permissions you need (for example, before photos are used for celebration flyers).
• Use the messaging features (email, SMS, WhatsApp) lawfully and only for your church's purposes. Do not send spam.
• Do not try to break, overload or get around the security of the service.

5. Your data

• The information your church puts into Gatelist belongs to the church. The church is the data controller; we are the data processor and handle it only to provide the service, under our Privacy Policy and data processing terms.
• You can export your data at any time. When the service ends, we will, on request, give you an export and then delete your installation's data within 30 days, except where the law requires us to keep it.

6. Third-party services

Some features use other providers, for example WhatsApp for messages, email and SMS providers, card payments for support funds, and OpenAI to make celebration flyers (only for members who have given permission). Those providers' own terms also apply to those features.

7. Availability and support

We aim to keep Gatelist available at all times and monitor it around the clock, but we do not guarantee it will be uninterrupted. We may carry out maintenance, ideally outside service times. Support is by email at support@gatelist.com.

8. Liability

Nothing in these terms limits liability that cannot be limited by law. Otherwise, our total liability in any 12 months is limited to the fees you paid us in that period, and we are not liable for indirect losses or lost profits.

9. Ending the service

You can end the service with one month's written notice. We can end it with the same notice, or straight away if the terms are seriously broken.

10. Changes

We may update these terms. We will tell you about important changes by email before they take effect.

11. Law

These terms are governed by the law of England and Wales, and the courts of England and Wales have jurisdiction.
