Most churches start with a spreadsheet. It is free, everyone knows how to use it, and for a while it works. Then the copies multiply: one for the welcome team, one for the children's ministry, one on the treasurer's laptop. Nobody is quite sure which is current, and a missed update means a visitor never gets a follow-up call.
Moving to church management software fixes that, but only if the records you bring across are in good shape. This checklist is the order we suggest to churches moving to Gatelist. It works whichever system you choose.
1. Gather every list in one place
Ask each ministry leader for the lists they keep: membership, visitors, volunteers, small groups, giving, birthdays, the WhatsApp groups. You will usually find more than you expected. Put copies in one shared folder and note who owns each one.
2. Decide what a "member" means for you
Before merging anything, agree the categories you will use, for example member, regular attender, visitor and child. It sounds like admin, but it is what makes your reports meaningful later.
3. Clean before you copy
- Remove duplicates. The same person often appears in three lists with three spellings.
- Split names into first name and surname, and put dates (birthdays, anniversaries, the date someone joined) in one consistent format.
- Check phone numbers include the country code if you plan to send WhatsApp messages.
- Group people into households, so a family is one household rather than four unrelated rows.
4. Check consent and keep only what you need
Churches hold personal and often sensitive information. Under UK GDPR you should know why you hold each piece of data and how people agreed to it. Moving systems is the perfect moment to delete what you no longer need and to note how each person consented to being contacted.
5. Import in small batches
Bring across one list first, usually the core membership list, and check it carefully. Then add households, ministries and groups, then giving history. Small batches make mistakes easy to spot and easy to fix.
6. Give each person the right access
Not everyone needs to see everything. A children's ministry leader needs their group, not the giving records. Good church software lets you give each role only the access it needs, which protects your members and your team.
7. Retire the old spreadsheets
Once the new records are checked, archive the old files somewhere safe and tell your team the new system is now the one source of truth. If the old copies stay in use, the duplicates come straight back.
