Choosing church management software: 10 questions to ask

Gatelist blog: choosing church management software, 10 questions to ask.

Choosing church management software is a big decision. You are trusting a system with your people's details, and asking busy staff and volunteers to change how they work. The right choice saves hours every week; the wrong one ends up abandoned in favour of the old spreadsheet.

Whichever provider you are considering, including us, these ten questions will help you decide.

1. What problems are we trying to solve?

Write down your top three frustrations before you look at any software: scattered member lists, missed follow-ups, hours spent on giving reports. Judge every system against those.

2. Will our volunteers find it easy?

Ask for a demo, then ask a volunteer to try a few everyday tasks: find a member, add a visitor, record attendance. If it needs a manual, it will not get used.

3. Does it work well on a phone?

Many leaders will check rotas, contact details and events on their phones, not at a desk.

4. Can we control who sees what?

Look for role-based access, so children's leaders, treasurers and pastors each see only what they need.

5. How is our data protected?

Ask about secure sign-in, backups, monitoring and where the data is stored. A good provider will answer clearly and put it in writing.

6. Can we bring our existing records across?

Ask how importing works, and whether the provider will help. Our spreadsheet checklist covers the preparation.

7. How does it help us communicate?

Check which channels it supports, such as email, SMS and WhatsApp, and whether you can message specific groups rather than everyone.

8. What reports will we get?

Ask to see the reports you would actually use: attendance trends, visitors, ministry participation and giving.

9. What will it cost as we grow?

Understand how pricing changes as your church grows, and what is included. Watch for features you need being sold as extras.

10. What help do we get?

Ask about onboarding, training and day-to-day support, and how quickly you can reach a real person. And ask how you can export your data if you ever decide to leave.
