Understanding your church’s giving: a guide for treasurers

Gatelist blog: understanding your church’s giving, a guide for treasurers.

Church treasurers carry a quiet but important responsibility. Giving funds ministry, and the people who give trust the church to handle their gifts carefully. Good records help you plan with confidence, report clearly to your leaders, and thank people well.

These habits work whether you manage giving on paper, in a spreadsheet or in church management software.

Record every gift the same way

  • Who gave, linked to their member or household record rather than typed as a name each time.
  • How they gave: bank transfer, card, cash, cheque or online.
  • What it was for: general fund, building fund, missions, a special appeal.
  • The date it was received, not the date you got round to entering it.

Consistency is what makes reports trustworthy. Agree the funds and payment types once, and use them every time.

Count and record cash with two people

For cash and cheques collected at services, have two unrelated people count together, sign the count, and record it promptly. It protects the money and the volunteers.

Keep Gift Aid paperwork with the giving record

If your church claims Gift Aid, keep each donor's declaration alongside their giving history, and check the latest HMRC guidance on what you need to hold and for how long.

Report in a way leaders understand

Most leadership teams do not need every transaction. A monthly summary usually covers it:

  • total giving this month and year to date, against budget;
  • giving by fund, so special appeals are tracked separately;
  • the trend over the last twelve months;
  • regular givers starting and stopping, in numbers rather than names.

Protect people's privacy

What someone gives is personal. Limit access to individual giving records to the people who genuinely need it, usually the treasurer and perhaps one other. Leaders can see totals and trends without seeing names.

Say thank you

An annual statement or receipt for each giver is good practice, and a simple, sincere thank you makes it more than paperwork.
