Church events take a lot of love to put on: the harvest supper, the youth weekend, the carol service, the baptism Sunday. When turnout is low, it is rarely because people did not care. Usually they heard too late, heard too often in the wrong place, or forgot.
A little planning makes a big difference. Here is a simple approach that works for events of any size.
Start with one church calendar
Before you plan anything, check the whole church calendar. Clashes with other ministries, school holidays and big local events are the most common reason good events struggle. One shared calendar, rather than one per ministry, avoids most of them.
Be clear about who it is for
"Everyone" is rarely the right answer. Is this for families with young children, for the youth, for newcomers, for one ministry team? Knowing who it is for shapes the time, the place and how you invite people.
Invite the right people, in the right way
- Announce it early: three to four weeks ahead for most events, longer for anything that needs childcare or travel.
- Send each invitation only to the people it is for, using groups you already keep: a ministry, an age group, a household type.
- Use the channels people read. A short WhatsApp message often does more than a notice in the bulletin.
- Ask people to say if they are coming, so you can plan food, seating and helpers.
Remind, but do not nag
One reminder a week before and one the day before is usually enough. Make each one useful: the time, the place, what to bring, and who to contact.
Record who came
Taking attendance at events is not about counting heads. It shows you who is connecting with church life beyond Sunday, and who came to their first event and might welcome a follow-up.
Follow up and learn
- Thank the volunteers who made it happen, by name.
- Follow up with first-time guests within a few days.
- Ask what worked and what to change, and write it down for next year.
Bring it together
