Five church reports worth reading every month

See Gatelist in action: simplify administration and strengthen your community with one secure platform.

Church leaders are rightly wary of turning people into numbers. But good records, read regularly, are one of the best ways to notice people: the family who has stopped coming, the visitor who keeps returning, the volunteer who never gets a break.

You do not need a data team. Set aside half an hour once a month with these five reports, and ask one question of each: who does this tell us to care for?

1. Attendance trends

Look at the last three months rather than last Sunday. Is attendance steady, growing or slipping, and is it the same across services and groups? A gentle dip after the summer is normal; a steady decline in one group is worth a conversation with its leader.

Ask: who used to come regularly and has not been seen for a month?

2. New visitors and their next steps

List everyone who visited for the first time this month, and where each person is now: followed up, came back, joined a group. It is the simplest way to check your welcome is working.

Ask: has every visitor had a personal follow-up?

3. Membership and households

Track how many people and households have joined, moved on or changed status. Households matter: a family with young children has different needs from a couple whose children have left home.

Ask: which new families need connecting with a ministry?

4. Ministry participation

See how many people serve in each ministry, and how many serve in several. Healthy churches spread the load; struggling ones lean on the same faithful few.

Ask: who is serving too much, and who has never been asked?

5. Giving trends

Look at overall giving over the year rather than individual gifts, and compare it with your budget. Treat individual giving records with particular care, and limit access to those who genuinely need it.

Ask: are we on track, and do we need to share the vision for giving more clearly?

Bonus: this month's celebrants

A list of birthdays and anniversaries is not strictly a report, but sharing it with pastors each month is one of the warmest uses of church data there is.

Make it a habit

Put the monthly review in the diary, share a short summary with your leadership team, and agree one or two actions each time. Gatelist brings attendance, members, ministries and giving together, so these reports take minutes rather than an evening with spreadsheets. Book a demo to see them for yourself.
